Oxford Innovation (OI) are now seeking an ambitious Project Administrator to join our friendly, hard-working team on a temporary basis to provide efficient administrative support to the Programme Office and our field-based teams. This contract will run until the end of March 2015, with the possibility of an ongoing contract or a permanent position.

The position is based at our offices in central Oxford and some travel across the region may be required from time to time.

GrowthAccelerator (www.growthaccelerator.com) is a unique service provided by leading business growth specialists, which delivers tailored business coaching to high-flying small businesses. The service is a partnership between private enterprise and government, and OI is leading the delivery in the South of England. 

Overall Responsibilities

Systems support             

  • Ensure CRM system is maintained in a timely manner ensuring compliance and accuracy of systems and output

  • Maintain annual record of grant offers and all relevant evidence to meet contractual requirements

  • Support CRM system and associated process requirements including manual processes

  • Support programme filing structure using ‘Huddle’ (online tool)

  • Support maintenance of the sales pipeline

  • Collate performance data and summarise in reports

  • Liaison with Group Finance over payment of invoices

  • Support the internal audit practise for key business processes.

  • Maintenance of project folders and files

General administration

  • Day to day administrative support including:

  • Involvement in project work as necessary

  • Any other duties as reasonably required.

  • Answering telephone as required and make outbound calls to support clients in making grant claims

About You

You will be a good team-worker, able to work with a minimum level of supervision and to communicate professionally with colleagues and clients. You will have a high level of organisation skills and the ability to manage your own workload in order to react to urgent tasks and multiple deadlines. Experience of providing support to remote field based teams would be an advantage.

You should have excellent problem solving skills together with great attention to detail. You will also need a good degree of computer literacy with intermediate excel skills. You must have experience of using databases and CRM systems and the ability to learn new software and processes quickly.
